Even faster work with tasks

In the previous article we wrote about the revised project list; now we focus on the view of the project itself. As with the project list, the project workspace is similar to the first version of the application. On closer inspection, however, we find differences.

Workspace

Projektově 2 uses a dark blue color to distinguish the area with controls shared across the entire application. That includes the left main menu, search and tabs. Inside, on a light background, is the workspace – in our case the opened project.

In the current application we struggle with user orientation. The name of the currently opened project is built into the main menu, detached from the displayed content. Yet, when I have a project open, I need to see from a distance what project it is and where it belongs.

That is why we moved the project name inside the workspace including a breadcrumb showing its placement.

At the same time, what works we do not change. Every project contains a left-hand menu through which you can switch the views of it.

Frequent questions then went to the colorful menu above the task list. In the very first version of the application, this menu was on the right side of the screen and took up space from the task table, which was therefore not fully visible. Later we moved it above the table and gradually made small improvements. We did not have the courage, however, for a much needed but fundamental redesign.

The idea of the main filters above the task list can be expressed significantly better. In Projektově 2 we gathered the courage and made the necessary changes right away. We integrated work with time and simplified the whole filter.

In the application you always start in the project list. You pick a project and click it open. You then see the tasks assigned in the project.

Above the table is a new main filter where you can choose which tasks you want to see:

  • "All assigned" – all tasks in the project,
  • "Current tasks" – tasks that should be in progress now or are overdue,
  • "Overdue tasks" – only tasks past their deadline,
  • "Completed tasks" – tasks the assignee marked as done.

All the mentioned tasks are visible in "All assigned" tasks; with the filter you choose whether you want to see all tasks, current ones, overdue ones or those already resolved.

If you want to hide a task from the list completely, you can "Close" it. By closing, you move the task into the task archive. These tasks are stored separately; you can reach them through the filter "Closed tasks", and you can return them to in-progress at any time.

When you look at a task row closely, you will see that it starts with a colored mark. The colors of this mark correspond to the colors in the main task filter. From a distance you will see in the list that, for example, a current task is in it.

Bulk editing

In the current application it is possible to bulk-change task assignees. The procedure is, however, complicated and the editing options limited. In the current version you can edit either everything, or everything assigned to a particular colleague. The option to tick just the few tasks you want to change is missing.

In Projektově 2 bulk editing is completely redesigned and is now significantly easier. Just click the bulk-edit icon above the list, select the tasks and change them using the toolbar that appears near the bottom of the screen.

Labels

Task labels form a whole new chapter. So far it was possible to distinguish tasks at most by priority – mark them as Urgent or High priority. That led to companies having 50 tasks marked urgent, and still no one knew where to start.

In conversations with customers it turned out that priorities are often used to differentiate tasks. We decided to elaborate on that further through labels.

Existing priorities will be displayed in Projektově 2 as a task label. You can then add your own labels. Labels are visible directly in the task lists, so without opening a task you immediately see what kind of task it is. At the same time you can create your own reports with labels.

To keep order in the application, labels are prepared by the administrator. Anyone can then assign them to tasks or use them to prepare reports. For example, add to your My page only a list of tasks with a chosen label.
